Runa is designed to work as a shared memory for your entire team, not just as a personal note-taking tool. When you share folders with your teammates, everyone has access to the same transcripts, notes, and context — and can contribute to them in real time. This makes it easier to stay aligned, onboard new team members, and build a consistent record of what your team has discussed and decided.

Share notes with teammates

You can share an individual meeting note by opening it and clicking Share. This generates a link you can send to anyone, or you can invite specific teammates by email. People you share with can view the note in Runa without needing to be in the same folder. For ongoing collaboration, shared folders are more useful than sharing individual meetings. See Folders and organization for how to set those up.

Collaborative editing in shared folders

When a folder is shared, every teammate with edit access can:
  • Add their own meetings and recordings to the folder
  • Edit note content and add comments
  • View all transcripts and AI-generated summaries in the folder
  • Ask the AI questions that draw on everything in the folder
Changes are visible to all folder members in real time. There is no need to export or re-share notes after making edits.

Invite teammates to your workspace

Go to team settings

Open the Runa app and navigate to Settings, then select Team or Members.

Enter your teammate's email

Type the email address of the person you want to invite. You can send multiple invitations at once.

Assign a role

Choose a role for each new member. Roles control what they can access and manage within your workspace.

Send the invitation

Click Invite. Your teammate will receive an email with instructions to join your Runa workspace.

Share relevant folders

Once they’ve joined, share the folders they need access to. They won’t automatically see your existing folders until you share them.

Manage access

You can update or revoke access to a shared folder at any time. Open the folder, click Manage access, and adjust each member’s permissions or remove them from the folder. Removing someone from a folder does not remove them from your workspace.
Admin controls — including workspace-level user management, role assignment, and audit settings — are available on the Pro plan and above. On the Basic plan, you can share individual folders but cannot manage workspace members or set workspace-wide permissions.

Runa as shared team memory

When your whole team uses Runa and organizes meetings into shared folders, it creates a searchable record that everyone can draw on. New teammates can get up to speed by reading past meeting notes. Managers can review what was discussed with a client without attending every call. The AI can answer questions that span months of conversations across the whole team. This is most effective when your team agrees on a folder structure upfront — for example, one folder per client, or one per recurring team meeting. See Folders and organization for recommendations.
