Speaker memory

Controls how Runa remembers voices and how much of that memory you share.
SettingDefaultWhat it does
Save speaker profilesOnKeeps per-speaker profiles (name, voice clusters) tied to your account.
Save private speaker notesOnLets you keep private notes about people you meet with (e.g., “prefers concise updates”). Visible only to you.
Save org-wide speaker profilesOffWhen on, speaker profiles you create become available to other members of your organization. Requires org membership; admins control whether this is allowed at all.
Match voices using AI voiceprintsOnUses voice-similarity embeddings to recognize the same speaker across meetings. See Voice and Biometric Information for what is and isn’t stored.
Publish my voice signatureTo my orgWhere your voice signature is published so others can label you correctly. Choose To my org, To contacts I share with, or Nowhere.

Recording

SettingDefaultWhat it does
Record other participantsOn (macOS / Windows)Captures computer audio from Zoom, Meet, Teams, and browser calls so Runa can transcribe everyone on the call — not just you. Greyed out on Linux.
Meeting languageAuto-detectPick Auto-detect (recommended), English, French, German, Italian, Spanish, Portuguese, Greek, Dutch, Polish, Chinese, Japanese, Korean, Vietnamese, or Arabic.
Leave Meeting language on Auto-detect unless every single meeting happens in the same language — Runa’s auto-detect is fast and avoids mis-transcription when you switch languages mid-call.

AI context

Two free-form text fields that get passed into the LLM whenever it generates summaries, notes, or workflow suggestions:
  • Internal jargon — product names, codenames, internal acronyms. Helps Runa transcribe and capitalize them correctly.
  • About your role — a sentence or two about what you do and what you care about. Helps Runa decide what’s signal vs. noise when summarizing.

Summary templates

Lists the five built-in templates (General, Detailed, Bullets, Executive Summary, Decisions) plus any custom ones you’ve created. From here you can:
  • Tap + New template to author a new one.
  • Edit the prompt and structure of any template inline.
  • Pick one as your default — every new meeting summarized after that uses it.

Notifications

Per-event toggles for things Runa can notify you about (meeting ended, workflow suggestion, etc.). There’s also a Silenced nudges section near the bottom. If you’ve muted reminders for a specific app or meeting series, they appear here as small chips with an Unmute button so you can re-enable them.

Data & privacy

Controls how long Runa keeps your content. Everything past the chosen window is deleted automatically.
SettingDefaultOptions
Transcript retentionForeverForever / 7 days / 30 days / 90 days / 1 year
Notes retentionForeverForever / 7 days / 30 days / 90 days / 1 year
Save audio files1 day1 day / 7 days / 30 days / Forever
Audio is processed on your device for transcription; the Save audio files setting controls only how long the original audio file is retained on Runa’s servers after transcription. With the default of 1 day, the audio is purged within 24 hours. You can also opt out of using your de-identified data to train Runa’s models from this section. See the Privacy Policy for the full opt-out behavior.

Billing

Shows your personal plan and any organizations whose billing you can manage (org Owners and Admins only). For each one, you’ll see:
  • Current plan name and tier (Free / Pro / Team / Enterprise).
  • Trial status and renewal date.
  • AI-note usage against your plan’s limit.
  • Actions: Upgrade, Manage subscription, Redeem code.

Account

  • Display name — editable inline with Save / Cancel.
  • Email — read-only; synced from your sign-in provider.
  • Avatar — synced from Google or Microsoft.
  • Export my data — exports a copy of your meetings, transcripts, summaries, and notes in a machine-readable format.
  • Delete account — removes your account and personal data. Org data tied to other members may persist; see Data Retention and Deletion.
Audio device selection (which mic, which output) is handled in your operating system’s sound preferences, not in Runa. Runa uses whatever device the OS reports as default at the moment a meeting starts.
